About the Opportunity:
The HR Operations Assistant supports the College of Professional Studies' (CPS) HR operations in a variety of projects and tasks. This role is key to the successful hiring and processing of all part-time, full-time and half-time faculty. Under the supervision of the HR Operations Manager, the Assistant administers day-to-day functions pertaining to the faculty hires, staffing, payroll and procedures. The responsibilities include, but are not limited to: faculty recruitment and hiring, assisting with faculty appointment letters, renewals and re-appointments, changes to employment status, auditing data and faculty workload.

Responsibilities:
This position will enter payroll transactions that will route to the HR Operations Manager for approval. The incumbent assists the HR Operations Manager with projects and tasks related to the HRM/Salesforce system. Acts as a liaison between the College's HR team and academic units as well as the College's IT systems areas. He/she works in close collaboration with the University's Human Resources Management office. The HR Operations Assistant helps to identify gap areas and works with the HR Operations Manager on process improvements.

Duties and Responsibilities (these duties are a general summary and not all inclusive):
  • Enters data accurately and timely into CPS Salesforce system.
  • Assists with faculty hiring and payroll.
  • Enters, updates and creates any relevant forms, documentation and correspondence. .
  • Sends, receives, and drafts correspondence such as emails, reports, spreadsheets, letters, etc. to all stakeholders regarding Faculty.
  • Escalates workflow issues that could impact timeline, scope, quality, and service delivery.
  • Acts as administrator for I-9 processing forms through E-verify; completes I-9 for new faculty ensuring timeliness and compliance.
  • Serves as the primary time-tracking administrator for CPS.
  • Maintains records, files, and pertinent documents.
  • Assists HR Operations Manager, CPS Faculty with various tasks as needed.
  • Serves as a project liaison on an as needed basis.
  • Responsible for consistently providing excellent customer service, including fostering positive relationships with individuals and departments supported by the HR function.
  • Accountable for effective backup of peers in other areas of HR.

Qualifications:
  • 1+ years of administrative experience and an Associate's degree or a combination of education and experience from which comparable skills are attained.

  • Experience with Salesforce, Excel and Microsoft office suite.

  • Demonstrated ability to remain calm and focused in challenging situations.
  • Must have a strong attention to detail and be able to proactively work through a variety of situations.

  • High level of self-motivation and accountability with ability to handle confidential materials.

  • Strong written and verbal communication skills

  • High energy and ability to work in a fast-paced environment

  • Must have excellent customer service skills and ability to provide support to many different levels of the organization.

  • Must demonstrate a continuous improvement mindset to invent, streamline and simplify.

  • Ability to think flexibly and re-prioritize tasks as needed.

  • Must be able to demonstrate a flexible, team-oriented approach.


    Preferred Qualifications:

  • Previous exposure to payroll or recruitment administration is preferred. Previous experience working with an HRIS and report generation preferred.
