Job Description:
This position is responsible for employee services, labor scheduling and payroll processing for Campus Dining Services staff. This includes exempt, non-exempt, and bargaining unit positions (>400 FTEs), as well as assisting with temporary and student employees which can be >1,500 depending on the time of year.
Qualifications:
- Minimum A.S. Degree in Accounting, Finance, Human Resources, IT or related field.
- Bachelors Degree preferred.
- Intermediate to advanced MS Office Excel, Word and Outlook.
- Knowledge of PeopleSoft and Hyperion.
- Experience with implementing and administering Time & Attendance and payroll systems. Experience working with and understanding Bargaining Unit contracts.
- Strong team player with proven ability to collaborate in a team environment.
- Demonstrated ability to work well with individuals and groups at all levels of the organization. Excellent verbal/written communication and interpersonal skills.
- Self-starter that is able to balance competing and changing priorities.
Job Specific Qualifications:
- HR Generalist, and experience working with bargaining unit contracts.
- Independent judgment and confidentiality required.
Responsibilities:
- Employee services functions including job postings, preparing Food Services hiring packages including reviewing applicants and ranking by seniority/ discipline, submitting PERs for new positions/ changes to existing positions, and processing terminations. Work closely with Talent Acquisition team and others within Human Resources. Work in collaboration with Risk Management on employee leave and return to work status and processes, including follow up on potential job return. Serve as a liaison between Food Services leadership, Labor Relations, SEIU Union stewards, Human Resources, Payroll, Risk Management, Facilities Services and other University Departments. Process and monitor union probationary/trial period evaluations. Track and maintain discipline records. Calculate and maintain seniority dates. Maintain personnel records for all SUFS staff members. Maintain, review and update FS Employee Services procedures. Track and maintain employee required training records.
- Payroll transactions including weekly and semi-monthly payroll entry and approval, RAPs, PARs, step increases and benefit time tracking. Other responsibilities include tracking, preparing and auditing union contract required overtime polling report. Respond to information requests for temporary staffing, seniority status and benefit use. Develop and deliver payroll training to FS payroll users. Complete monthly (or more frequent) review/analysis of payroll expenses and PINs; make appropriate corrections to ensure payroll is accurately stated, and fringe benefit expense is correct. Assist with annual budget process.
- Review, interview and recommend temporary staff. Plan, organize and assign work for bargaining and temporary assignment staffing during layoff periods and for special events, i.e. Commencement dinner, MLK dinner, Mayfest, SU athletic events, Orange Central weekend, concerts, summer & winter layoff periods, etc. Track special event attendance to ensure correct payroll accounting.
- Manage summer scheduling procedures and processes including planning and executing SEIU employee summer scheduling. Work closely with Facilities Services during the Summer Program. Assist Facilities Services and FS units with necessary payroll transactions during summer.
- Collaborate and fully cross-train with Administrative Assistant in order to provide full support and back up in the following key areas: Food Services Office reception, employee uniforms, and employee safety shoe reimbursement program. Schedule/fill daily union shifts due to call-offs, schedule/fill shifts for Dome Catering Athletic events, and schedule/fill Campus Catering shifts as needed.
