Primary Purpose of Organization Unit:
Support enrollment of new students and admission application processing.
Primary Purpose of Position:
Position serves as lead support for inquiry processing through automated uploads and manual entry. The position will also support the CRM point of contact and assist in regulating 3rd party data exchanges such as test scores, transcripts, and application imports. The position will also execute first level communication and response to requests for information through appropriate literature, digital media, or email correspondence. Position ensures the correct linkage of documents to a student's application and works to identify and eliminate data errors based on student admit type. Position will process new student applications, and be responsible for updating applications with term and major changes.
Job Description:
Records, Reports, and Data Entry - Undergraduate admissions applications, admissions documents, and inquiry entry are processed and managed by this position. As documents arrive for prospective students, this position is responsible for tracking these credentials in the database. Applications must be entered into the system and matched with the appropriate supporting documents. Requirements are set on the appropriate screens in Target X, the admissions recruitment software system. Screens incomplete and complete files and gives completed files to the appropriate counselor. Uploads automated inquiries or inputs manual entries from contact cards to be imported and uploaded into Target X. Periodic changes in the software used for application processing necessitates that this position be willing and capable to learn new procedures.
CRM Support-Partners with main CRM point of contact to complete data exchanges, application and data imports and exports, document retrieval, duplicate record clean up, updating communication flows and assisting with eliminating and identifying errors through deductive reasoning and use of validate software.
Mail - Receives mail daily, tracking and matching all admissions documents appropriately. Corresponds with prospective students via the mail regarding missing credentials or provides first line of communication in response to requests for more information. Also corresponds with students who have sent credentials but have not yet applied, encouraging them to send their application.
Public Contact - Receives incoming calls from academic departments, administrative offices, prospective students, and parents regarding admission data within the online system and the status of files. Assists at front desk reception area and switchboard, as needed. Other duties as assigned or related to coverage in the absence of another team member.
Management Preference:
Experience in data entry and document management within a robust customer relationship management system. Previous work experience in a goal oriented and customer service setting that requires multi-tasking and the ability to adapt and learn new processes to improve efficiency and effectiveness in a high volume work area. Motivated to complete assignments independently and in a team-centered environment. Strong communication and Microsoft Office skills.
