Job Description:
This role is responsible for drafting and executing all donor gift documentation on behalf of the University. This work is critical for the acceptance and proper documentation of gifts, requesting new funds, long-term use, and reporting of donor gifts to all units of the University. They will compose all gift agreements for donors and serves as the primary point of contact to draft new endowment, multi-year current use fund agreements, amendments of previously established funds, administrative documents, and other documents supporting new gifts. Utilize database to track and manage gifts agreements; perform ad hoc queries/audits of information and manage agreements through the e-signing process. They work closely with the Advancement staff, Financial Aid, Treasurer's Office, Restricted Accounting, and University Counsel's Office. This work includes managing the digital tracking and signature systems, and database donor fund information updates. Manage the overall gift approval process including submissions to the Gift Acceptance Committee. Develop/review and update policies and procedures pertaining to all types of gift documentation. Train staff on fund establishment policies, agreement documentation, and other gift acceptance related practices; includes public speaking and written forms of communication.

Responsibilities:
- Manage and direct the University gift agreement process including drafting pledge documents and gift agreements, track approval and signatory process, and maintain all records systems.
- Ensure agreement provisions are structurally sound and meet all requirements for administration, donor intent and comply with gift acceptance policy and procedures.
- Collaborate daily with gift officers, Advancement Services, University counsel, and University financial offices, ensuring that all agreements are crafted consistent with current laws and University policies and practices.
- Oversee and direct one staff member to track agreements through signatory and fund creation processes starting with digital project management workflow and ending with advancement database.
- Track establishment of all related gift fund accounts via collaboration with restricted accounting. Troubleshoot as required.
- Oversee and manage submissions to Gift Acceptance Committee and subsequent approvals/rejections. Includes agreements meeting thresholds, naming and reputational risk reviews. Ensuring compliance of all agreements with University's Gift Acceptance Policy.
- Conduct annual review of policies and procedures.
- Conduct periodic training and education for gift officers on gift agreement process including regulation and guidelines surrounding charitable giving and best practices.
- Manage digital signature software for AEA division
