Job Description
THIS IS A GRANT FUNDED POSITION

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 serves as the administrative/clerical resource to the department chair, faculty, staff and students within Obstetrics & Gynecology (OB/GYN). This position assists with maintaining schedules/calendars, arranges meetings, processes travel, helps prepare PowerPoint presentations for the Chair and assists with the Maternal-Fetal Medicine (MFM) Fellowship Program while delivering excellent, professional services to faculty, staff, and all UT Health Science Center entities.


Responsibilities
DUTIES AND RESPONSIBILITIES:
  1. Assists with maintaining calendars and scheduling meetings for the Department Chair.
  2. Arranges, schedules, and coordinates meetings, conferences, and events for faculty and the chair.
  3. Prepares travel requests, travel authorizations, and travel arrangements for the Chair and guests.
  4. Reviews, updates, and maintains faculty database information.
  5. Schedules faculty evaluations, determines faculty eligibility for promotion and tenure, and compiles data packets for committee review.
  6. Coordinates faculty recruitment activities: search, evaluation, selection, and hiring of new faculty.
  7. Evaluates hiring packets for accuracy and completion; submits packets to committee members for review; contacts candidates for interviews and arrange visits.
  8. Prepares and submits guest travel reimbursements; coordinates travel; organizes and prepares agenda for candidate visits to multiple departments, hospitals, and entities.
  9. Maintains time sheets and leave requests for faculty.
  10. Assists with pre- and post-award activities.
  11. Performs other related duties as assigned

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative/clerical experience; OR Associate Degree and two (2) years of work-related experience; OR Bachelor's Degree in lieu of experience. (Experience in a higher education environment preferred).

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to be self-motivated, detail-oriented, and highly organized.
  • Knowledge of and experience using online databases and other resources.
  • Ability to complete all types of forms designed by UT for Finance and Payroll.
  • Excellent interpersonal skills and the ability to communicate effectively and professionally.
  • Excellent written and oral communication, and organizational skills.
  • Skill and experience with Filemaker Pro, Excel, Word, and PowerPoint.
  • Knowledge of UT policy and procedures is necessary.
  • Ability to prepare and edit communication plans.
  • Ability to organize book chapters and curriculum vitae.
