JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator 1 manages and coordinates the administrative and logistical activities within the office of the Executive Dean for the College of Medicine.
Responsibilities
- Provides administrative support to the Senior Associate Dean of Finance, Associate Dean of Faculty Affairs, Associate Dean of Access and Compliance, Professor for Research, Directors of Finance, and other administrative staff. Provides backup support to the Executive Dean, as needed.
- Reviews faculty offer letters to ensure the accuracy of hiring information.
- Schedules meetings and appointments and maintains calendars as assigned. Coordinates electronic scheduling of conference rooms; readies conference rooms for meetings by establishing Zoom and conference calls; ensures all equipment is functional.
- Coordinates flow of documents sent to college for approval by maintaining designated email account and related data base.
- Handles travel and group events planning for college activities; processes contracts on system and pays invoices, as needed.
- Oversees and ensures the accuracy of college web pages; facilitates collection of new information.
- Serves as departmental IT liaison for financial files, SharePoint databases, and shared calendars; maintains SharePoint sites' security and access.
- Provides support for equipment inventory; maintains a database of all college computers and other minor sensitive equipment, ensuring all check-out sheets are current. Creates surplus forms.
- Assists with special or ongoing projects for college leadership as assigned.
- Performs other related duties as assigned.
Qualifications
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Five (5) years of upper-level administrative support experience; OR Bachelor's Degree and one (1) year of experience; OR a combination of related education and work experience to equal five (5) years.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledgeable use of financial systems.
- Skill in using Microsoft Office: Outlook, Word, PowerPoint, and Excel.
- Excellent interpersonal, oral, and written communication skills.
- Ability to prioritize work and maintain confidentiality.
- Ability to work independently and collaboratively.
- Skill in composing correspondence.
- Ability to proofread for accuracy with high attention to detail.
WORK SCHEDULE: This position may occasionally be required to work evenings.
