Job Summary
Simmons University is looking for an Assistant Registrar to join the Office of the Registrar. Reporting to the Associate Registrar, College Scheduler & Online Technical Operations (Associate Registrar) the Assistant Registrar serves as the University's compliance coordinator for the National Student Clearinghouse and National Student Loan Database and is responsible for maintaining accurate records and enrollment statuses. This position is a certifying official for the Veterans' Administration and monitors status changes of all students who receive veterans' benefit. The Assistant Registrar is also responsible for managing the transcript request process and the withdrawals and reinstatement for all students, on-campus and online. In addition, the Assistant Registrar prepares scheduled and ad hoc reports from the University student information system on enrollments, demographics, etc. for internal University use.
Responsibilities:
- Serve as the representative to the National Student Clearinghouse (NSC);
- Manage the University's compliance with the policies and regulations of the National Student Clearinghouse, interpreting new or revised Clearinghouse requirements and update Simmons' procedures and documentation accordingly,
- Ensure accurate submission of student's information;
- Prepare monthly uploads for the Clearinghouse, receiving, reviewing, interpreting, and reconciling the discrepancies provided by the Clearinghouse and the National Student Loan Database;
- Serve as the certifying official for the Office of Veterans Administration Manages the Veterans' Educational benefits recorded at Simmons;
- Responsible for information on the protocol rules for students who receive veterans' benefits and how their registration status is affected;
- Oversee leaves of absence and University full-school withdrawals, counseling students on the leave of absence process, code leaves in the student information system, and maintain regular contact with undergraduate students while away from the University;
- Reactivate student accounts upon their return. Code and track all student withdrawals across the University;
- Create and disseminate internal data reports related to students programs and registration information at regular intervals and upon request, including monitoring datqrequest@simmons.edu;
- Manage the University's transcript request process for official transcripts via our Parchment vendor, as well, requests for unofficial transcripts for alum and non-active students;
- Work collaboratively with the Office of Technology to resolve issues in the student information system and/or the student portal and to troubleshoot issues, serves as lead role for the Registrar's Office on data cleanup efforts;
- Provide customer service to students, faculty, staff and fellow administrators, in person, over email, and on the phone with questions about registration/records, courses, curriculum requirements, etc.;
- Other responsibilities as required.
Qualifications:
- Bachelor's Degree or equivalent work experience in higher education (preferably Registrar's Office) required;
- Minimum 3-5 years in the Office of the Registrar or relevant experience;
- Excellent verbal and written communication and interpersonal skills;
- Strong customer service skills with the ability to communicate effectively in person, over the phone, and in writing;
- Strong technology skills, including proficiency in the Microsoft Office suite, particularly strong Excel skills, including excellent skills in data manipulation;
- Ability to understand complex relationships among data elements and produce accurate, detailed reports
- Familiarity with a student information system (Ellucian Colleague preferred, but not required);
- Advanced proficiency with MS Office (Word, Excel and PowerPoint) and Adobe Suites;
- Proficiency in the use of computers; knowledge of word processing, spreadsheet, and database applications; and ability to search and obtain information from the internet;
- Comfortable working in a student information system or similar database;
- Attentiveness to detail and ability to work independently;
- Strong organizational skills, and the ability to prioritize multiple requests and handle them in an efficient and timely manner;
- Strong problem-solving skills, excellent communication and interpersonal skills, and commitment to customer service and teamwork;
- Ability to thoroughly learn, understand, and abide by federal and university guidelines regarding student record confidentiality requirements.
Position Details:
This is a full-time, 18-month term, benefits-eligible position.
