Job Summary
Simmons University is looking for an Events & Alumnae/I Engagement Coordinator (Coordinator) to join the Office of Advancement. Reporting to the Director of Events, the Coordinator will play a key role in alumnae/i engagement efforts, data entry, registration processing and event logistics for all events designed to cultivate and steward alumnae/i and current and future donors. Additionally, the Coordinator will have a front-facing role with our alumnae/i community, responding to communications both on the phone and through email and will interface with other departments within Advancement.

Responsibilities:
- Support the Director of Events, the Director of Alumnae/i Engagement and the Coordinator Director of Alumnae/I Engagement;
- Track and assist in the planning, scheduling and logistics for regional engagement events;
- Obtain and process any contracts with vendors, venues, or other partners per department and University protocol, and as necessary;
- Track master event logistics spreadsheet including technology orders, building facilities and access, room setup, catering, registrations, etc. and present to team;
- Create event records in the database, manage RSVPs for events in RE, reconcile event registrations in the database including refunds;
- Manage logistics associated with event attendee lists and name tag production;
- Manage on-site registration check-in for all events;
- Working with the Advancement 800-Line team on a rotating schedule to cover, field, and resolve, forward, and otherwise process alumnae/i calls via the Alumnae/i 800-line;
- Prepare regional alumnae/i communications, making recommendations for and initiate graphics for communications and social media;
- Assist to manage the Simmons Alumnae/i LinkedIn, including requests, as well as the Flickr account;
- Develop and implement consistent and replicable data entry and management procedures to track engagement in regional programming, including Advancement fundraising initiatives, in partnership with Advancement Operations;
- Reconcile Reunion and all event registrations and manage the confirmation process;
- Participate on the Reunion Planning Committee and other Division-wide committees convened for major events as assigned;
- Assemble Reunion participant registration packets and staff on-site check-in process;
- Staff Reunion weekend with Advancement Division.
Qualifications:
- Bachelor's degree required;
- Customer service and event logistic support experience;
- Demonstrated ability to work in and thrive in a fast-paced environment;
- Superior attention to detail and organization skills;
- Strong written and verbal skills necessary;
- Available to work some weekend and early evenings;
- Some previous experience working in events, higher educations, or project management preferred.
