Accounting Coordinator (Financial Professional 1 - MR10)

The Accounting Coordinator provides service to the University Community (faculty, staff, students, and guests) in regard to Travel, Accounts Payable, and general departmental accounting in the areas of compliance to University Policies and Procedures by providing guidance and knowledge in how to best resolve complicated situations, and serves as a liaison between the UTC department, external vendors, and UT Treasurer's Office when needed.

Duties and Responsibilities:

Compliance
  • Serves as a Compliance Officer for Travel and Accounts Payable by reviewing and assisting with complicated situations that need further attention beyond our general audit processes
  • Provides familiarity with University, Federal, and State policy regulations to explain to campus personnel and make sound decisions that work well for each individual situation
  • Provides a strong customer service experience which allows for good working relationships to be developed with campus personnel and external vendors
  • Achieves the best outcomes by providing guidance to mitigate potential risks or conflict
  • Provides good mediation and communication skills while working with key people to resolve compliance issues
  • Informs the Director and Assistant Director of Accounting Services, and possibly other leadership members, on situations that have escalated and works together to resolve
  • Mentors, coaches, and provides work direction to Accounting Specialists as needed
  • Performs quality assurance reviews, makes recommendations for quality assurance and improvement to procedures
  • Serves as a liaison with UT System Travel and Accounts Payable office for policy changes and related problems
  • Maintains responsibility for keeping the university community informed when revisions to policies are made

Training
  • Serves as a lead trainer for the department and is responsible for developing and implementing training on Accounts Payable, Travel, and general accounting procedures such as ledger reading and reconciliation
  • Serves as a Super User for our new DASH Oracle accounting system and will be the main trainer for Accounting Services, assisting campus with navigating the system, as well as working with the UT System DASH team implementing training initiatives for the UTC campus which could include onboarding training for new hires and continued training support for established personnel
  • Maintains the Accounting Services website with policy and training updates for all general accounting functions

Petty Cash and Accounts Payable and Travel Processing
  • Balances and reconciles petty cash bank account monthly
  • Serves as backup for processing petty cash checks for program activities and payroll corrections as necessary
  • Serves as backup for auditing and processing Transfer Vouchers during peak times (i.e. fiscal year-end) as necessary
  • Serves as primary person for reviewing and approving refunds
  • Serves as backup for auditing and processing AP and Travel for the department and provides temporary support when Accounting Specialist are out for extended periods of time

Departmental Goal and Data Analytic Reports
  • Assists Director in development of goals and objectives for Accounting Services for University Strategic Plan and assessment of departmental needs for functioning effectively
  • Compiles and prepares data analytical reports for the functioning of the Accounting Services Department in relation to Travel, Accounts Payable, and general accounting
  • Generates reports to be used for the tracking of data used to improve customer service, development of goals and objectives, and training development by the department
  • Prepares and analyzes reports for random audit checks and ones requested by UT System to determine adherence to policies and procedures, and report to Director on findings that need follow up


The ideal candidate will possess the following requirements:
  • Knowledge of basic accounting principles, basic computer operations, and fiscal responsibility
  • Skilled in Microsoft Office programs such as Outlook, Word, and intermediate skills in Excel
  • Skilled in navigating and data entry into accounting software
  • Skilled in written and oral communication to impart information clearly and effectively
  • Skilled in developing reports to collect and analyze data
  • Skilled in customer service, critical thinking, and mediation
  • Ability to effectively manage time, multi-task, be well organized, and extremely detail oriented
  • Ability to manage a large volume of work
  • Ability to prioritize regular duties with sudden and immediate demands or issues
  • Ability to compare information and recognize discrepancies
  • Ability to determine whether items comply with university policy and procedures
  • Ability to create and deliver training
  • Decision-making ability is required
  • Excellent customer service orientation, ability to work with the public, self-motivated,
  • Preferred skilled in both SAP (IRIS) accounting software and in Oracle accounting software
  • Knowledge of UT Fiscal Policy and Procedures, especially in relation to Accounts Payable and Travel and general accounting

Minimum qualifications: Typically requires bachelor's degree in a business or accounting, and two years of relevant experience, or an equivalent combination of education, training, and experience.

Preferred qualifications: 3-5 years in an office environment with moderate level experience in accounts payable management; 6-7 years of accounting experience specifically in Travel and AP functions, and compliance monitoring and negotiation are preferred.
