Job Description:
The Office Coordinator serves as the initial departmental representative to incoming constituencies, and handles a variety of tasks providing operational support and general assistance. The Office Coordinator is present in the office to provide services to campus constituents.

Reporting to the Community Folk Art Center's (CFAC) Administrative Specialist, the Office Coordinator's duties include, but are not limited to performing administrative duties and secretarial support for CFAC. This position will manage the front desk operations and assist with the supervision of student workers. The Office Coordinator will purchase office supplies and resources in support of programs and events. The position is responsible for answering the phone, managing the office calendar, responding to office emails, managing walk-in traffic, and scheduling tours in the Center.

This position has significant student and staff interaction and a high level of multitasking is required in a fast-paced work environment. Hours are Mon-Fri 10am-7pm. Occasional evening and weekend hours are required as the Office Coordinator's work hours may shift to accommodate event schedules.

This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.

Responsibilities:
  • Provide outstanding customer service to students, faculty, staff, and visitors, in person, via email, and on the telephone.
  • Organizing meetings and calendars; maintaining up-to-date knowledge of events and performances occurring at the Center.
  • Opening the building M-F in a timely manner.
  • Purchasing office supplies, maintaining sufficient inventory of items, as well as managing the upkeep and maintenance of office equipment .
  • Developing and maintaining professional relationships with vendors and campus services.
  • Scheduling and monitoring tours for the Center.
  • Assisting in the coordination of special events.
  • Collecting completed timesheets from outside artists and consultants.
  • Assisting with time entry processes including regular communication with work study students regarding time clock entry.
  • Responding professionally to questions that students, staff, faculty, or guests have regarding the Center. Using discretion to direct more complex inquiries to the appropriate staff person in the Center.
  • Maintaining daily sign-in sheets for events.
  • Developing and sharing a calendar of events for the office.
  • Assisting in the preparation and editing of correspondence, coordinate mailings, and manage department listservs.
  • Maintaining and update the department's website content and social media outlets.
  • Serving as back-up to the Administrative Specialist. Cross-training to provide support for transactional duties during heavy workflow periods and during Admin Specialist absences.
  • Overseeing the orientation, training, and coordination of the student workers.
  • Under the direction of the Executive Director, implementing policies and procedures to achieve programming goals set by the Director.
