Primary Purpose of Organization Unit:
Deliver tracks in exercise science major and minors. Provide general education activity classes to the campus. The department also is responsible for enagaging in research and service activities as per the faculty handbook.

Primary Purpose of Position:
The Administrative Support Associate oversees and performs a range of diverse administrative duties for the departments' faculty, staff and students.

Job Description:
Public Contact: Answering telephone inquiries from prospective student and current students. Responding to routing public inquiries concerning admission and course scheduling. Greeting students and visitors in the English E. Jones Building. Scheduling interviews and appointments with all current and prospective students. Scheduling faculty and adjunct professor meetings. Providing routine student information to the Graduate Studies Office and other appropriate offices. Records and Reports: Keep up-to-date student information in our program and maintain listserv. Employee prepares appropriate budgetary forms for expenses, compiles end of course evaluation forms for faculty. All departmental purchases are processed and recorded by this position and approved by the Chairman.

This position requires that all forms and paperwork associated with the records noted are completed in compliance with all departmental, university and state requirements. All problems that arise must be monitored and addressed by this person with the approval of the Chairman. Composition: Memos to faculty, adjunct professors and students regarding the programs and any important information about changes in class schedules or classes. Duties include proofreading punctuation, grammar and appropriate revisions. Also, proof and edit other documents prepared by the staff as requested by the Chairman. Resources used in performance of these duties are UNCP catalog, dictionary, spell and grammar check (Microsoft Word programs) and knowledge-gained through experience.

Assist with special projects assigned by the Chairman. Type information to be presented at curriculum meetings, grad council meetings, departmental meetings, etc. Responsible for designing flyers for the programs, signs for informational sessions in the building, on campus and other campuses. Office Technology: MS Word is used to generate all memos, correspondence, mail merging, etc. Microsoft Publisher is used to create brochures, flyers, signs, covers for books, etc. Microsoft Excel is used to generate spreadsheets for budget management. Blackboard is used to assist professors and students with online troubleshooting and/or course information questions/answers. Microsoft Outlook is used to receive and send all email correspondence from current and/or prospective students and manage meetings for dates and times. Microsoft PowerPoint is used departmentally, by classes and outside by adjunct professors.

Mail: Distribute incoming and outgoing correspondence, documents, packages and applications. All outgoing mail is taken to the drop box located in Jones Office Complex and placed in for distribution to on/off campus persons, agencies or other academic departments. Outgoing mail would include application packets to prospective students, brochures, and correspondence. Mail is received from on campus and off campus and distributed to the Chairman of the department for review. These items may include textbook adoptions, letters from prospective students, memos and letters from administration. Other Work Performed: Type syllabus, type tests, order textbooks for faculty and adjunct professors, type student evaluations for undergraduate and graduate programs, contact students for professors and other members of faculty and respond to any other as needed requests.

Management Preference:
1. Computer skills: Intermediate to advanced knowledge of the Microsoft office, with proficiency in outlook, word, excel and PowerPoint and be coachable/willing to learn difference computer programs including banner
2. Strong typing skills: more than 50 wpm
3. Organizational skills: Ability to plan, coordinate and organize events/actions, familiarity with scheduling tools and ability to schedule essential activities/actions, ability to prioritize and meet deadlines
4. Problem solving skills: Ability to identify key points/issues, explore multiple solutions/options, and select best options for identified issue/problem.
