HourlyPOSITION PURPOSE

The primary responsibility of this position is to have working knowledge and expertise regarding a variety of software packages used in the Office of the Registrar. This position is solely responsible for maintaining classroom and inventory records, designing classroom and usage reports, and analyzing classroom usage. This position will provide training to administrative staff on how to use Ad Astra when looking for space availability of classrooms. This position will also provide technical support in the Office of the Registrar (OOTR), and assist with the assessment of system and software upgrades.

ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Classroom Scheduling and Management (50%)
  • Evaluates proposed schedule from the three undergraduate programs to determine if scheduling guidelines have been followed
  • Works directly with academic deans regarding scheduling guidelines and managing day/time changes to ensure compliance of scheduling guidelines
  • Develops positive and cooperative relationships with academic deans, department chairs, faculty, and administrative staff
  • Meets established production deadlines
  • Coordinates with the Office of Accessible Education regarding various student needs that must be accommodated
  • Manages faculty ADA accommodations
  • Works directly with staff within OOTR ensuring that day/time changes are logged correctly in Workday
  • Uses AdAstra Optimizer and Sandbox to schedule sections into classrooms
  • Oversees classroom changes
  • Assesses classrooms quarterly to ensure resources are available when classes are taught
  • Coordinates work orders through facilities for classrooms that have broken features
  • Recommends initiatives and implements changes to improve quality of classrooms
  • Troubleshoot issues with IT


2. Final Exam Scheduling (25%)
  • Schedules graduate and undergraduate classes that have finals into classrooms
  • Maximizes on classroom usage to meet undergraduate final exam schedule approved exam times
  • Notifies graduate records' staff and administrative staff regarding final assignments


3. AdAstra Support (5%)
  • Works with Business Analyst in IT and AdAstra regarding AdAstra failures
  • Trains staff on how to properly use AdAstra when searching for available classroom space
  • Constant communication with Event Planning regarding space throughout campus


4. Veteran Certification Support (10%)
  • Participate in initial training for VA certification and ongoing training as needed
  • Assists with the certification including independent analysis of veterans and dependents, with priority on certification of those eligible in semester schools (Law and JST), to ensure compliance with all veteran regulations
  • Serve as backup to primary veteran certifier when that person is away from the office

5. Miscellaneous (10%)
  • Edits the OOTR's website using Terminal Four
  • Assists with the assessment of system and software upgrades
  • Participates with testing of patches for Workday and Ad Astra
  • Keeps on-going inventory of classroom supplies and replenishes when needed
  • Attend quarterly meetings with Office Managers/Senior Administrative Assistants
  • Teach new Office Managers/Senior Administrative Assistants on how to use internal systems

  • Senior Associate Registrar


GENERAL GUIDELINES
  • Recommends initiatives and implements changes to improve quality and services
  • Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices
  • Maintains contact with staff, faculty, students, and vendors, and solicits feedback for improved services
  • Maximizes productivity through use of appropriate tools; planned training and performance initiatives
  • Researches and develops resources that create timely and efficient workflow
  • Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions
  • Prepares and submits reports as requested and required
  • Develops and implements guidelines to support the functions of the unit


QUALIFICATIONS

Knowledge
  • Knowledge of a student information system
  • Ability to think analytically and apply logic to problem solving
  • Knowledge of Excel, other Microsoft software, and other databases
  • Experience updating websites


Education
  • Bachelor's degree required
  • Master's degree preferred
  • 0- 3 years in an administration office in higher education or related field
  • Documented technical skill set using various databases
