Under the general oversight of the Director of Payroll Services, the Payroll Coordinator will assume the pivotal role of a subject matter expert, orchestrating seamless student hiring processes within Workday for their designated departments. This encompasses an array of roles, including but not confined to processing Research Fellows, Teaching Assistants, and Research Assistants. Meticulously overseeing all facets of payroll within their department, the Payroll Coordinator is tasked with upholding a customer-centric approach, prioritizing timely processing for every payroll task.

The Payroll Coordinator holds the responsibility of setting up temporary workers, teaching assistants, and research assistants, managing high-volume hiring initiatives exceeding 900 hires at the onset of each semester. This payroll coordinator is responsible for all payroll tasks associated with BE and MSE PhD students. This encompasses overseeing the intricate processes of new matric hiring, navigating annual stipend compensation changes, and addressing situations such as LOA/internship stipend pauses and terminations when necessary. Furthermore, as part of their broader duties, all Payroll Coordinators share the collective responsibility of weekly time-sheet approvals, ensuring a streamlined and efficient payroll workflow.

Job Description

Job Responsibilities
  • Oversee the comprehensive BE and MSE Ph.D. new matric hire process, including annual stipend compensation changes, LOA/internship stipend pauses, and terminations as needed. Additionally, manage Teaching Assistant/Research Assistant hires, handling their on-boarding and tracking through department spreadsheets, and setting up Temporary Worker hires.
  • Facilitate stipend payments for summer undergrad programs through Penn Marketplace.
  • Conduct weekly time-sheet approvals for a diverse group of 2000+ weekly-paid individuals. Provide assistance to SEAS faculty, staff, and student workers, addressing payroll-related issues by offering tip-sheets and reviewing cases.
  • Undertake monthly One-time payment processing responsibilities for Research Fellows.
  • Serve as a Workday subject matter expert for both weekly-paid staff and students.
  • Dedicate efforts to delivering the highest level of customer service to everyone involved.


Qualifications

Bachelors degree and 1-3 years of related experience, Masters preferred, or an equivalent combination of education and experience.

Experience with Outlook and Workday HCM fundamentals; working knowledge of Excel and Google sheets; strong attention to detail, time management, communication, problem solving, and organizational skills.
Optional Skills: understanding of Payroll Reallocations system and of Pennmarketplace PO system.
