POSITION: Full-time Administrative Coordinator, Nurse Anesthesiology Program

Effective immediately: (FT) Administrative Coordinator, Nurse Anesthesiology Program – College of Health Professions and Natural Sciences - Wilmington University.

Requirements:

A Bachelor's Degree or equivalent in a related field is required. A Master's degree in a relevant field is preferred. The incumbent must have 3-5 years of experience to successfully perform the essential functions of the job, preferably in higher education or a healthcare setting. Experience supporting graduate-level or doctoral programs is preferred. Must have excellent written and verbal communication skills. Must display excellent customer service and organizational skills. Must be detail-oriented and able to work with diverse populations. Must be self-directed and able to make decisions independently in a fast-paced environment and still work effectively as part of a team. Must possess strong written and verbal communication skills. Must demonstrate strong time-management skills with the ability to manage multiple tasks and deadlines. A self-directed, independent worker with sound logic and reasoning in identifying alternatives or approaches to problem-solving is required. Experience in student support, academic advising, or program administration at a graduate or professional level is a must. Contributes as a team member and team builder. Must be computer literate and proficient in Microsoft Office products. Working knowledge of WilmU database management systems (e.g., CAMS, Canvas LMS, Banner, BDM, Recruit, or other Microsoft-based Student Information System) is preferred. Familiarity of healthcare and academic environments, including familiarity with accreditation processes and the healthcare licensure and credentialing processes is preferred. Ability to maintain professionalism and confidentiality in any situation is a must.

Responsibilities include (but are not limited to):
  • Provide day-to-day administrative support for the Nurse Anesthesiology Program, including scheduling meetings, organizing events, and preparing reports.

  • Assist the Director and faculty with maintaining calendars, processing correspondence, and managing program documentation.

  • Coordinate communication between faculty, students, and clinical sites, ensuring all parties have the necessary information and resources.

  • Assist with clinical site placements by communicating with clinical partners, tracking student placements, and ensuring all credentialing documentation is current and compliant with accreditation standards.

  • Maintain records of clinical site agreements, student credentialing, and preceptor information, ensuring all documents are up to date.

  • Monitor student certification and credential requirements (ACLS, BLS, PALS, RN licensure, immunizations).

  • Serve as a point of contact for student inquiries regarding program policies, clinical rotations, and scheduling.

  • Support student onboarding, including assisting with course registration, coordinating new student orientation, and managing program deadlines.

  • Maintain student records, including tracking academic progress and clinical hours, and managing attendance for clinical rotations.

  • Collect and analyze data related to student outcomes, such as graduation rates, certification exam pass rates, attrition, and employment.

  • Prepare reports on program outcomes for internal review, accreditation, and continuous program improvement.

  • Track alumni progress post-graduation to gather data on long-term program effectiveness and accreditation needs.

  • Support student recruitment efforts, including assisting with open houses, information sessions, and other recruitment events.

  • Manage prospective student communications, track application materials, and assist with admissions processing.

  • Work with the admissions team to prepare files for review and coordinate interview scheduling.

  • Collect and maintain program data required for accreditation, including student evaluations, clinical hours, and program assessments.

  • Assist in the preparation of reports for accreditation agencies and ensure compliance with the Council on Accreditation (COA) standards.

  • Maintain and update databases for student, faculty, and alumni information as needed for accreditation and programmatic improvement.

  • Organize and coordinate program events such as student orientations, graduation ceremonies, faculty meetings, Clinical Coordinator meetings, and professional development workshops.

  • Manage logistics for guest speakers, contracts, and payment processing.

  • Oversee the day-to-day operations of the program office, including managing office supplies and maintaining the program's online presence.

  • Prepare agendas, take minutes, and distribute materials for program meetings and committees.

  • Promote and foster an inclusive and diverse environment for all students, faculty, and staff.

  • Perform other duties as assigned by the Director of the Nurse Anesthesiology Program and/or Dean.

Hours of Employment: Generally, Monday – Friday, 8:30 a.m. to 4:30 p.m. The incumbent must be flexible to meet the needs of the department(s) and/or the University. The incumbent must maintain a flexible work schedule to work some early evening hours occasionally. Hours may be adjusted for the first week of a block/semester and special events. Travel to other Wilmington University sites is required.
