Specifically, this position is accountable for

delivering enterprise-wide reports to support student enrollment operations across the Global University System and provides data insights to enable the continuous improvement of those operations. The Business Systems Analyst is also accountable for supporting the Office of the Registrar's data quality framework.

The Business Systems Analyst is a member of the Solution Delivery and Strategic Reporting team, reporting directly to the Senior Associate Registrar for Strategic Reporting. This position is responsible for creating and maintaining reporting artifacts and related processes that support enrollment operations using Tableau, SQL, Snowflake, and other technologies. The Business Systems Analyst develops operational and error reports delivered in a self-service repository; contributes to data mining activities for insights and opportunities for leadership to make data driven decisions; contributes to dashboard reporting functions related to Registrar responsibilities for the Global University System; and provides occasional ad-hoc reports where needed. This position serves as an operational and expert functional member of their team and, as such, will serve as a knowledge and coaching partner to student data users both in and outside of the Office of the Registrar. The Business Systems Analyst will be expected to consider their direct process workload and goals as well as reflect the broader team in the Registrar's Office and university goals and priorities in their work. The incumbent will contribute to the unit's roadmap planning, engage meaningfully to execute the vision and deliverables outlines in the final roadmap, as finalized by the Sr. Assoc Registrar and Deputy Registrar.

The Strategic Reporting team operates as a cohesive unit and delivers high- quality, outcome-oriented, globally minded, ever-evolving and improving services that aim to maximize student, advisor, staff, and faculty satisfaction. The Business Systems Analyst will inspire a culture that promotes agility, creativity, and the development of both industry-informed and cutting-edge ideas and practices. The incumbent will partner with fellow registrar colleagues and broader teams supporting Operations, Solution Delivery, Data Management, and the Network and Student Services teams, the Provost Office administration, Enrollment Management, the college academic units, Chancellor's Office, network supporting teams, among others. As a member of AACRAO, the Business Systems Analyst will continuously engage in the professional network to remain current on relevant topics, solutions, regulations, best practices, and cutting-edge opportunities. The Business Systems Analyst does not have any current direct reports yet may oversee temporary resources, as needed.

Business Systems Analyst responsibilities include:
  • Collaborate with stakeholders across the Global University System to design, develop, maintain, and delivery a variety of student enrollment-related reports and analysis using fit-to-purpose tools (e.g., SQL, Tableau, Snowflake).
  • Deliver reports in the Student Data Reporting Center for enterprise-use; participate in the continuous improvement of the Center, including evaluating emerging reporting requests to look for trends and opportunities.
  • Develop tools for annual and/or semester evaluation of data sources and calculated fields, ensuring consistency and accuracy; support the delivery of a data quality framework within the Office of the Registrar.
  • Be an active participant in regular intake, refinement, and prioritization of high priority work and formal projects through the Office of the Registrar's Program Increment (PI) Planning; participate in team-level Agile ceremonies, including regularly updating tasks.
  • Investigate data quality issues and communicate findings and recommendations to relevant stakeholders.
  • Serve as a resource for Registrar, academic units, and others to advise on data availability, best practices in analyzing student enrollment data, and comparisons for specific use cases. This requires gathering and understanding requirements, presenting options, and preparing final data sets, reports, and/or visualizations.
  • Participate in data communities to understand constituent needs and continue to build a student data community.
  • Build a self-directed operational plan to ensure accurate and timely execution of tasks required to plan, prepare, and implement unit activities and services.
  • Use the full spectrum of data sources and databases, as appropriate, to develop reports that provide accurate and timely information. Data sources to include tables in Banner, degree audit, 25Live, Salesforce, ServiceNow, as well as data warehouses.
  • Develop a collaborative, meaningful, action-oriented, and overall productive partnership with the EM, ITS, IR/UDS, among others.
  • Ensure continuous process improvement, integrity, documentation, and compliance standards are met within the unit.
  • Serve as a partner to the Provost's Office members, college partners, Chancellor's Office, and network teams in the areas student and course lifecycle data, such as course planning, registration, degree audit, and curriculum. As part of this partnership, develop and deliver appropriate data and reports, per the needs of each constituent. This may include row level data through to thorough analysis and summary findings reporting.
  • Enable and support unit peers to deliver business-critical organization-wide processes and tasks.
  • Serve as an active participant on a variety of registrar and network projects and task forces, as directed by the Sr. Associate Registrar for Strategic Reporting and Deputy Registrar.
  • As new opportunities and shifting priorities are realized, maintain an agile, nimble, and positive disposition and response, including reprioritization the workload and sequencing with existing initiatives and work.

Qualifications:

The ideal candidate will have many or all the following attributes and

demonstrated abilities:
  • Bachelor's degree is required; a degree in an applicable quantitative field such as computer science, statistics or data analytics is preferred.
  • Required experience working in higher education as a data analyst or other reporting role for at least 5 years. This must include demonstrated experience creating and delivering enterprise-wide reports using SQL and Tableau.
  • Experience working with Banner Student data is required.
  • Demonstrated ability to manage and deliver the sequenced and concurrent projects and meeting deadlines.
  • Demonstrated ability to manage diverse constituents through shifting workloads and priorities.
  • Experienced analytical and creative thinker, one who leverages relationships to get buy-in and support for solutions and enhancements, with a focus on root cause analysis and solutioning.
  • Must possess the ability to solve problems creatively and quickly, deescalate situations, maintain curiosity, and demonstrate empathy.
  • Demonstrated proactive and consultative customer and student service orientation.
  • Familiarity with state and federal laws, such as Compliance/Criminal Offender Record Information (CORI) and Family Educational Rights and Privacy Act (FERPA); experience working in partnership with a general counsel's office; experience with and knowledge of governmental and accrediting agencies.
  • Knowledge of operational and project best practices, systems, policies, and procedures in a fast-paced, complex, and dynamic setting, including strong analytical skill and data management.
  • An ability to influence, engage, and ignite internal and external staff; inform and contribute to discussions on unit tasks and processes; strong active listening with a presence that conveys confidence, respect, and credibility.

Maintain and execute successful planning, preparation, and workflows of the varied responsibilities within the areas Registrar reporting as described in the responsibilities section. Develop and constantly seek advances in the delivery of services and outcomes for students, faculty, advisors, and team workload. Embrace and deploy technological approaches to create efficiencies, enhance services, create staff capacity, yield better overall satisfaction. Use data to inform process adjustments, decisions, communication strategies and similar. Shift priorities, workloads, and goals for supervised staff and personal work responsibilities, as appropriate and necessary, to align with and respond to any changes in university priorities and goals. Coach and manage staff performing long- and short-term responsibilities, aligning practices with the vision for team growth and access to resources that enable workflows and production. Support the delivery and continuous improvement of a data quality framework.

Serve and collaborate with academic and administrative offices to ensure area processes and procedures to support stakeholder learner success, mission, and evolving network. Meet regularly with ITS, EM, SFS, IR/UDS and others to support the ongoing and iterative nature of the work. Seek functional and service feedback from stakeholders in peer and supported units to constantly improve on objective criteria and deliver on requested assistance with tangible outcomes and resolve.

Partner with Registrar's Office teams, leadership, and internal partner units to plan the reporting needs, as well as respond to urgent and timely needs that require data management support. Support the other unit's work within the Registrar's Office to find the best outcome, considering totality of the work and the student experience.
