Job Description
The Administrative Assistant 3, University Police Department/Property & Evidence will assist the property and evidence unit and is responsible for the receipt, documentation, storage, maintenance, and disposition of property and evidence collected by the University Police Department (UPD). The role ensures the integrity and security of evidence and property in accordance with applicable laws, policies, and procedures. This position requires strong organizational skills, attention to detail, and the ability to maintain confidentiality.
ROLE of the POSITION
Evidence and Property Management - 50%
- Receive, document, and securely store evidence and property in accordance with Department protocols at various NSHE campuses.
- Package, collect and deliver evidence to evidence and criminal processing labs for evidentiary processing
- Maintain accurate and detailed records using evidence management systems.
- Conduct regular audits and inventories of stored property and evidence.
- Ensure proper chain of custody for all evidence.
- Coordinate the transfer, release, or disposal of property and evidence as authorized by law and Department policy.
- Prepare evidence for court proceedings and provide court testimony when required.
Compliance and Security - 20%
- Adhere to federal, state, and local laws and regulations governing evidence and property management.
- Implement and maintain security measures to safeguard evidence and property.
- Monitor and report any discrepancies or breaches in evidence handling or storage.
Administrative Duties - 20%
- Prepare detailed reports and correspondence related to property and evidence.
- Assist in developing and updating policies and procedures for evidence handling and property management.
- Provide support and training to Department personnel on evidence and property protocols.
Collaboration and Communication - 10%
- Work closely with law enforcement officers, legal professionals, forensic examiners and other stakeholders to ensure proper handling and documentation of evidence.
- Respond to inquiries from officers, attorneys, and other authorized individuals regarding evidence and property matters.
MINIMUM QUALIFICATIONS
- Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
Preferred
- Associate degree in criminal justice, law enforcement, or a related field.
- At least two years of experience in property and evidence handling, inventory control, or a related field.
- Experience with evidence management systems and databases.
Knowledge, Skills, and Abilities
- Strong understanding of evidence handling protocols and chain of custody requirements.
- Proficiency in computer applications, including evidence management systems and Microsoft Office Suite.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Effective communication and interpersonal skills.
- Ability to work independently and as part of a team.
Certifications and Licenses
- Valid Nevada driver's license.
- Certification in property and evidence management (such as through the International Association for Property and Evidence) is preferred and should be obtained within the first year of employment.

SALARY
Grade 27 Step 1, salary $46,207.44. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
