JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Accounting Assistant plans and implements the administrative and fiscal functions of all research and various contract administration in the College of Dentistry. This position works with upper-level administration, faculty, staff, and members of the Sponsored programs department for all pre- and post-award activities within the department. This position provides responsibility for research staff management, policy compliance, and other policy-related issues.


Responsibilities
DUTIES AND RESPONSIBILITIES:
  1. Performs payroll entries for all College of Dentistry (COD) personnel including both research and non-research faculty, staff, and students.
  2. Enters all travel and other necessary reimbursements for COD personnel.
  3. Enter all terminations and exit clearances for faculty and staff.
  4. Collects bank bags and reviews petty cash and revenue collection daily.
  5. Enter all incoming research grants and activities into ESM or current/current research proposal entry software.
  6. Ensures research contracts are up to University standards for policy and procedures. Some negotiation may be involved for the Principal Investigator to receive more funding, Facilities and Administrative costs, and any other research aspects of the contract.
  7. Communicates with the PI providing accurate spending levels, financial forecasts, reconciliations, and other pertinent financial data.
  8. Closes, extends, and transfers funds expenditures for all restricted accounts in the COD using all necessary forms required by sponsored programs and accounting and budget.
  9. Maintain petty cash accounts for research activities and distributes funds as needed.
  10. Performs other duties as necessary.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of experience in research grants, financial reporting, cash management, or other accounting/business related office function; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Knowledge and experience with computer-generated spreadsheets.
  • Ability to set priorities and work independently to meet deadlines.
  • Ability to communicate effectively and clearly with faculty, staff, students, and outside vendors.
