College/Department Information

The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.

Job Summary

This position is the primary point of contact for the Department of. Restorative Sciences, the largest department at DCG, manages 13 predoctoral courses representing more than 40 percent of the curriculum. The department also manages advanced programs including the advanced education in prosthodontics specialty program, Advanced Education in General Dentistry an esthetic center and laboratory, a dental production laboratory, and a coordinated research effort and research laboratory. This position is the primary resource for budgetary and personnel activities and supports the Chair in managing all departmental activities. The position has 6 administrative direct reports. It also oversees the support of 38 faculty, 14 staff, and 13 residents within 2 residency programs.

Responsibilities

The duties include, but are not limited to:



SUPPORT AND ADVISORY TO THE CHAIR: The individual in this position is a critical support for the Chair toward managing broad responsibilities that meet the department's mission. To include but are not limited to: Support the department's academic, research, patient care, and service agendas with the support and guidance of the Chair. Evaluate and prioritize department workflow. Support personnel management and financial management under the supervision of the Chair. Ensure compliance with policies and procedures by faculty and staff members.
Maintain confidential information such as department budgets, faculty/staff, salary, and faculty contracts. Ensure data security according to the BOR policies. Prepare statistical reports, and sensitive documents and manage spreadsheets for the department

PERSONNEL MANAGEMENT: Oversight for complex departmental scheduling associated with the course and clinical activities that include more than 100 full-time/part-time/adjunct faculty, staff, admins, and residents. Oversight in the assurance of smooth-running pre-doctoral and advanced clinical programs in support of patient-centered care, patient flow, and patient safety. Managing oversight for operations including scheduling, support, and guidance of administrative assistants in all course administrative functions. Responsible for management and coordination of all HR processes such as onboarding, separation, and payment as primary contact with HR within the DCG and AU. Coordinate recruitment, hiring, and credentialing of faculty, staff, admins, and residents. Key members of the faculty search committee serving as the faculty search coordinator; In-depth knowledge of the People Soft HRMS database, faculty advertisements, faculty candidate interviews, reimbursements, and new faculty appointment packages. Conduct the department in-processing of all new department faculty; liaison with the credentialing office to expedite the Georgia Board of Dentistry License and DCG Faculty Practice credentialing process. Initiate new faculty account setup and PC number setup.

FINANCIAL MANAGEMENT: Critical analysis and tracking of all financial and budgetary information including monitoring expenses, purchases, oversight of data entry, and monthly reconciliation of expenses. Acts independently and in concert with the Chair to ensure fiscal soundness of the department in alignment with the department and DCG budget plans. Coordinate expenses from department accounts as approved by the Chair. Manage department research and travel funds, including oversight, management, and completion of the documentation. Serve as a point of contact with the Associate Dean for Business and Finance, and the Director of DCG Business Operations. Serve in an advisory role toward department budget analysis and planning. Participate in development activities toward meeting the department's mission.

ASSET MANAGEMENT: Monitor, coordinate, audit, and maintain database records in PeopleSoft for the large volume of department-associated equipment and AU assets.

OTHER DUTIES: Perform all other job-related duties as assigned.

Required Qualifications

Bachelor's degree from an accredited college or university to include one year of progressive office experience, including supervisory experience.

OR

Associate's degree from an accredited college or university to include seven years of progressive office experience, including supervisory experience.

Preferred Qualifications

Bachelors (or Master's) degree from an accredited college or university in a business field.
Experience in a fast-paced, predoctoral, and/or advanced education dental environment.
Experience with Exam Soft, PeopleSoft, Axium, and Banner. HR/personnel management and accounting experience.

Knowledge, Skills, & Abilities

KNOWLEDGE
Proficient in Microsoft Office and other computer software/databases.
Working knowledge of AU and BOR policies and procedures to ensure department and individual compliance.

SKILLS
Excellent verbal, written, and interpersonal skills.
Detail-oriented with strong organizational, analytical, multi-tasking, and prioritization skills.



ABILITIES
Ability to maintain confidentiality, complete work deadlines, and work independently with only general supervision.

Shift/Salary/Benefits

Shift: Days/M-F (Work outside of normal business hours may be required)

Pay Band: B7

Salary: Minimum $42,200/annual

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum midpoint) of the position.
