Campus recreation is a big part of student life at Augusta University. Job Summary
This position manages the daily administrative support operations of the Department of Campus Recreation, including (a) planning, organizing, and managing access control and membership sales (b) serving as a liaison for departmental operations, including direct customer service to students, Campus Recreation Center patrons and prospective Campus Recreation Center members, (c) assists with budget planning and oversight, including purchasing and payroll; and (d) supports content design and maintenance for departmental website. This position assists in the supervision of 20 student assistant employees (e.g., recruits, hires, trains, manages, oversees time and absence, etc.), serves as the Director's Administrative (e.g., coordinates facility reservations, facility entry schedules, and other staff schedules), works on various projects and tasks, and is responsible for many aspects of the budget, including planning, oversight, and purchasing. The position also manages departmental filing systems.
Responsibilities
The duties include, but are not limited to:
MEMBERSHIP SERVICE: Coordinate all membership services aspects including customer service, check-in, point of sale, monthly billing, and payroll deduction. Provide customer service support to students, facility members, and guests. Accept and process registration paperwork and fees for programs. Check applications and waivers for accuracy.
CUSTOMER SERVICE: Maintain knowledge to be able to answer customer service questions regarding hours of operation, facility information, programming information within Campus Recreation (Group Fitness, Intramural Sports, Outdoor Recreation, and Esports), and special events. Manage EMS reservation processes (approval and denial of requests) for the department.
GENERAL OFFICE DUTIES: Maintain office services by organizing office operations and procedures, preparing student assistant bi-weekly payroll for final approval, handling all purchases for the department, and reconciling the monthly deposits and expenditures. Manage intake and distribution of all mail for the department.
FORMS AND PAPERWORK MANAGEMENT: Prepare and process requisitions, purchase orders, travel authorizations, and other office forms and documents.
SUPPLIES AND INVENTORY: Maintain office supplies and equipment inventory, which includes exercise equipment more than $3,000 and all departmental computers. Assist the director in making purchasing decisions for minor and major equipment.
PROMOTIONS AND MEDIA: Assist with social media communication, website updates, digital signage, and promotion of Campus Recreation programs.
POLICY AND PROCEDURES: Be knowledgeable and assist in the enforcement of all Campus Recreation policies and procedures.
OTHER DUTIES: Perform other duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions OR High School diploma, GED or equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.
Preferred Qualifications
Exemplary interpersonal skills and the ability to maintain a professional work environment. Ability to manage multiple projects, answering phones, and the business process.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficient with Microsoft Office and other computer software/databases.
SKILLS
Excellent interpersonal, written, and verbal communication skills. Detail-oriented with strong organizational skills, prioritization, and customer service skills.
ABILITIES
Ability to maintain confidentiality. Ability to coordinate multiple projects simultaneously and meet deadlines despite interruptions. Keep accurate records and make independent decisions.
Shift/Salary/Benefits
Shift: Days/M-F
Pay Grade: B2
Salary: $15.77/hourly - $18.89/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
