OVERVIEW

University Relations builds Santa Clara University's excellence and character by strengthening relations with alumni, parents, and friends of the University, raising public awareness, and increasing private philanthropy. The development division has been recognized with the CASE Educational Fundraising Award, an honor given each year to superior fundraising programs at educational institutions across the country.

POSITION PURPOSE

The Prospect Management and Analytics (PMA) team supports fundraising efforts at Santa Clara University by providing customized information and analyses that contribute to building and maintaining donor relationships and strengthening connections to the University. The PMA team works collaboratively with each other, the development officers, other teams in University Relations, and offices across campus to ensure the university meets its fundraising goals.

Reporting to the Senior Director of Prospect Management and Analytics, the Director is responsible for supporting SCU's fundraising programs to meet the campus fundraising goals and objectives. The Director works in close partnership with assigned development officers and/or units to oversee portfolio developments, proactive prospect identification, prospect research, portfolio development, and moves/prospect management. The Director manages large and complex data projects supporting the strategic and tactical planning and operation effectiveness of the university's fundraising efforts. The Director is part of the PMA leadership team, which includes the Senior Director and another Director. This leadership team is responsible for ensuring that the PMA team remains at the forefront of industry best practices and emerging trends as well as keeping the work of the PMA team consistent while identifying opportunities to improve processes and automate redundant tasks to optimize efficiency.

In addition, the Director will supervise at least one other PMA team member.

This position is eligible for a flexible work schedule: hybrid - work from the office and home.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Liaison Responsibilities - 40%
  • Independently lead large and complex projects that have multiple tasks and competing deadlines.
  • Assist and advise the Senior Director in developing and implementing PMA guidelines and procedures, priority setting, and implementation of new initiatives.
  • Independently design and implement comprehensive data-mining and proactive prospect identification projects for various fundraising initiatives.
  • Initiate and lead projects to make PMA's work more efficient and effective in order to improve service to assigned development officers and/or units.
  • Proactively identify and research successful and generous prospective donors whose philanthropic interests match the university's priorities and initiatives.
  • Research, analyze, and maintain information on prospective donors' backgrounds, interests, and capacity to give using a variety of electronic databases, publications, and on-line services.
  • Conduct regular portfolio reviews with assigned development officers, to advise prospect strategy, track pipeline development, and optimize portfolios.
  • Analyze broad data sets to identify trends and develop actionable recommendations for PMA, development officers, and University Relations leadership.
  • Serve as an independent, internal consultant to several development officers and/or units; provide targeted services that support fundraising strategies and priorities.
  • In addition to partnering with development officers, the Director will also have liaison relationships on behalf of the PMA team with various departments within University Relations and across campus.
  • Interpret and analyze biographical and financial information on individuals and where appropriate, corporations and foundations, based on fundraising strategies and objectives.
  • Support and promote the PMA program, including conducting prospect strategy meetings, prepare routine reports of prospect information, and training development officers and other staff on prospect management guidelines and procedures.
  • Mentor and train PMA team members.
  • Coordinate proactive use of the CLARA (CRM) database to support moves management, including moves tracking, proposal tracking, and task management.
  • Assist the Senior Director in developing, documenting, and implementing policies and procedures for managing prospect information.
  • Perform other duties as assigned in support of Santa Clara University's mission.


2. Supervisor responsibilities - 60%
  • Hire, supervise, train, and mentor at least one other PMA team member.
  • Manage and supervise liaison activities for appropriate schools and units assigned to direct reports.
  • Work to integrate remote workers so they feel included and supported
  • Facilitates professional opportunities of direct reports to improve individual capability and manage their performance against department and division goals.
  • Manage the preparation and monitoring of department budget
  • Manage the development of annual retreats/training.
  • Collaborate with the Sr. Director in setting and monitoring annual PMA goals and in the development and implementation of the PMA overall vision and work processes.

PROVIDES WORK DIRECTION
  • In the case of the absence of the Senior Director, the Director will serve as Acting Senior Director.


QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The items below are representative of the knowledge, skills, abilities, education, and experience required or preferred.

1. Knowledge
  • Knowledge of fundraising and proven experience in producing, analyzing, and interpreting data to drive fundraising strategies.
  • Demonstrated knowledge of project management, including proficiency in developing and implementing complex data projects.
  • Demonstrated knowledge and expertise in research and prospect management, with specific experience in research techniques, prospect management strategies, process analysis and business analytics, including expertise in modeling and data analysis. Proficiency in conceptualizing and implementing prospect identification, research/profiling, and relationship management methodologies to support organizational goals.
  • Mastery of current prospect research techniques, methods, and resources.
  • Proficiency with the evaluation of gift capacity through standard wealth-assessment formulas and with systems of ranking and prioritizing prospects based on giving capacity, interest and readiness. Experience with turning wealth assessment information into intelligence with direct usefulness for frontline fundraisers, prospect strategies or solicitation plans.
  • Understanding of advancement information systems including software and business best practices.
  • Experience developing predictive and segmentation data models highly desired.
  • Understanding and appreciation of the mission of Santa Clara University and the vision and values of a Jesuit Catholic educational institution.


2. Skills

  • Proficiency in using fundraising (CRM) database. Proficiency and experience in Microsoft Office products, spreadsheets (including advanced Excel functions), Google products (i.e. Google docs, Gmail, etc.), Power BI and an ability and willingness to learn new software if needed.
  • Excellent oral and written communication skills.
  • Strong customer service skills and a proven ability to work patiently, persuasively, and effectively with a wide variety of people.
  • Positive attitude, collaborative, sense of humor and flexibility.
  • Emotional intelligence
  • Supervision experience desired but not required


3. Abilities

4. Education
  • Bachelor's degree required. Graduate or professional degree preferred.


5. Years of Experience
  • Minimum 8 years of direct experience in the research and prospect management/development field (or closely related field), preferably at a higher education institution.
