College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
Ensure administrative support for the Department of Family Medicine with considerable latitude for exercising judgment and discretion. Maintain confidentiality. Provide all aspects of administrative support to the faculty member and residents via Microsoft Office and other computer software/databases. Make responsible decisions regarding prioritization and respond to requests for assistance in a timely and effective manner. Comply with all policies and procedures and always operate with a team attitude.
Responsibilities
The responsibilities include, but are not limited to:
Administrative Duties
Greet all visitors in person and via phone and direct appropriately.
Provide courteous customer service to all which includes visitors, patients, faculty, residents, colleagues, etc.
Compose memos and general letters for the office.
Maintain and update faculty CVs.
Prepare reports: gather and compile information, perform calculations, and assist in the development of narrative information or graphic displays.
Assist in researching articles requested by various faculty and/or residents.
Assist in the preparation of PowerPoint presentations for faculty and/or residents.
Arrange and process travel (including foreign travel) for faculty and/or residents along with conference registration, hotel, and airline reservations. These arrangements include preparation and routing of Travel Authorization and the Travel Expense Statement upon return.
Process faculty members' license reimbursement, membership dues, and subscriptions.
Prepare faculty manuscripts for publication.
Utilize department's scheduling software to verify faculty availability for meetings, teaching, or educational duties as needed. Once clinic schedule is final, ensure that Outlook calendar is populated with correct information.
Schedule meetings for assigned faculty members.
Perform budget reconciliation, procurement, facilities management, and operational activities
Complete check requests, IDRs, as needed.
Ensure orders are properly charged to departmental funds or one of the sponsored accounts
Correspondence/Reports
Maintain correspondence and reports; check and compare with previous communication and bring significant items, changes, errors, or omissions to the attention of the supervisor or faculty member; prepare a response for approval or signature of supervisor. Determine priority of incoming material and route to appropriate personnel.
Other Misc
Other misc. work as required and related to section in Family Medicine in which Office Specialist is assigned.
Residency Section: Support the program and residents with orientation, graduation and other duties as needed.
Student Section: Support the program, students, and Annual Clerkship meeting as needed.
Business Section: Facilitate the work of the Business Manager and Administrator. Back-up the telephone with the Chairs Office phone. Participate in setting up for any departmental events, such as retirement parties, etc. Other duties as required.
Required Qualifications
Associate's degree from an accredited college or university in a related field.
OR
High School Diploma, GED, or equivalent from a recognized State or Federal accredited organization with a minimum of three years of progressively responsible office support experience.
Knowledge, Skills, & Abilities
Ability to maintain confidentiality
Excellent interpersonal, written and verbal communication skills
Proficient in Microsoft Office and other computer software/databases
Detail-oriented with strong organizational, prioritization and multi-tasking skills
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: 3
Salary: $16.54 - $19.86/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
